EVENT PLANNER

Position Summary

The Event Planner is responsible for  coordinating, and executing events from start to finish, ensuring they run smoothly, and meet organizational goals. This role requires exceptional organizational skills, attention to detail, creativity, and the ability to manage multiple stakeholders, vendors, and timelines simultaneously.

Key Responsibilities 

  1. Event Planning & Coordination
  • Organize, and execute events such as seminars and social gatherings.
  • Develop detailed project timelines, event schedules, and checklists to ensure seamless execution.
  • Conduct site visits and liaise with venue management for layout planning, logistics, and compliance with safety regulations.

 

  1. Vendor Management
  • Source, and coordinate with vendors including caterers, AV suppliers, decorators, photographers, and logistics providers.
  • Monitor contracts, invoices, and payment schedules.

 

  1. Communication & Stakeholder Engagement
  • Work closely with internal teams (marketing, communications, operations, finance) to align event objectives.
  • Provide regular progress updates to management and stakeholders.

 

  1. Marketing & Promotion Support
  • Coordinate with the marketing team on social media, email blasts, and press releases to maximize event reach.
  • Ability to produce event press releases for management’s vetting.

 

  1. On-site Event Management
  • Involve in onsite registration, attendee experience, and teardown.
  • Lead and brief event staff and volunteers on roles, responsibilities, and schedules.

Qualifications & Requirements 

  • Diploma or Bachelor’s degree in Event Management, Marketing, Communications, Hospitality, or related field.
  • Proven experience (1+ years) in planning and executing corporate or large-scale events.
  • Strong organizational, multitasking, and project management skills.
  • Excellent communication and interpersonal abilities.
  • Proficient in Microsoft Office Suite
  • Flexibility to work evenings, weekends, and travel as required.

Preferred Skills 

  • Creative problem-solving and ability to stay calm under pressure.
  • Negotiation and budget management expertise.
  • Knowledge of current event trends, technologies, and best practices.
  • Proficiency in Mandarin is an added advantage
